AI in PilotBPM
PilotBPM has AI woven throughout to help old-school teams digitize fast — turning documents into structured processes, answering questions in plain language, and building blueprints and forms by conversation. AI is optional, permissioned, and uses your provider and key.
Bring your own provider & key
Each workspace configures AI under Admin → AI:
- Providers — OpenAI (and Azure/OpenAI-compatible), Anthropic Claude, and Google Gemini are supported. Paste your API key; it's stored encrypted.
- Model discovery — click Refresh from provider to pull the current list of models for your key, then pick the one you want.
- Token budget — set a monthly token limit per tenant. Usage is tracked and surfaced in Analytics.
- Platform fallback — if a tenant has no key, a platform-managed configuration can be used (when enabled by the platform owner).
No key configured? AI features degrade gracefully — the workspace assistant falls back to non-AI search, and the studio still works with a built-in offline draft mode.
Where AI shows up
- AI Studio — convert documents into SOPs/Blueprints/Projects, smart-import whole handbooks, or Build with AI conversationally. See AI Studio.
- Workspace Assistant — ask natural-language questions from search and get a summarized answer with deep links. See Workspace Assistant & Search.
- Blueprint assignments — when importing or building a workflow, AI detects who owns each step and flags steps to Ask on run.
Who can use it
Access is governed by the ai.use permission. Admins decide which roles and individuals can use AI features (Admin → AI → access), so you can roll it out to a pilot group before opening it to everyone. Every AI call is attributed and counted toward the workspace's usage.
